Experiential, Conferences & Summits
We are not an experiential agency and we do not pitch against you. We are the hair, makeup and grooming partner that experiential shops, event producers, conference organisers and brand teams bring in to run the beauty side — glam bars, green rooms, keynote and VIP support — under your name, to your run of show, on your COI.
How We Work With You
This needs saying plainly, because it has been misread before. City Lights does not concept activations, does not sell strategy decks, and does not bid on production. We hold one line item on your budget — beauty — and we hold it well enough that you stop worrying about it.
Referral and preferred-vendor arrangements are standard for us, as are white-label terms and agency margins. Ask and we will send the partner terms rather than a client quote.
Proof
Festival
A three-day branded glam lounge inside the VIP footprint, with a queue that never stopped moving.
Conference
Thirty-plus speakers through the chair on 15-minute turnovers, all broadcast-ready.
Corporate Summit
A 300-person corporate floor through glam, plus live keynote support and coaching follow-up.
The Activation Bar
You pick the guest experience; we build the station mix, the artist count and the queue plan that delivers it inside your footprint and your run of show. Everything below runs audience-facing, behind the scenes, or both.
How We Scope It
Dates, venue, expected guests, brand guidelines, and what the experience is supposed to feel like.
Which services, how many chairs, how many artists, and the honest guests-per-hour that produces.
A written scope with staffing, kit, build, travel and COIs stated up front — no surprises on the invoice.
A key artist owns the floor. We load in, hold the standard for the whole run, and leave the space clean.
For Repeat Buyers
Producers, creative directors and agencies who use us more than once can prepay a block of four, six or twelve day rates — or half day rates — and hold a preferred rate across the whole block. Priority on the calendar, one contract, one PO, and no re-quoting every time a project lands.
Questions Producers Ask
It depends on the service, and being honest about that is the whole job. A full glam look is 20 to 30 minutes; a braid or tinsel station is 5 to 10; a lash or gem application is under 5. At Lollapalooza we ran 50-plus guests an hour through a Budweiser VIP lounge with 15 artists across three days. We will build the station mix backward from the throughput you need, not the other way round.
Staffing and operations are the default; design is available on request. Most of our work is executing to your build partner’s drawings and your brand direction — we lay out the station count, queue path, throughput math, power and lighting needs, mirror and chair spec, and hand it back so your producers and set designers can build. If you would like us to design the lounge or activation footprint outright — brand surfaces, moodboard, layout renders — we can, but we never assume that scope. It is added when you ask for it.
Yes. Colour palettes, product visibility, uniform and dress code, on-brand language for artists, and what does and does not get photographed. Our artists are used to being a public-facing part of a brand experience, not just technicians behind a chair.
This is where most beauty vendors stop and we do not. Luxury face and body art, SFX and prosthetics, nails, atmosphere and specialty talent, a mini viral podcast booth, a photo and headshot activation, video and reel filming stations, holistic wellness and hormone balancing, brain coaching with an interactive PQ quiz, a wealth coaching experience, a travel IV clinic, and keynote sourcing on any topic.
Yes. Liability coverage, certificates of insurance on request, W-9s, vendor onboarding portals, and Florida Talent Agency License TA1765 for sourcing and booking talent. This is the part most beauty vendors cannot clear, and it is usually why we get the call.
No, and we have deliberately built the business so we cannot. We do not concept activations, pitch strategy, or bid production. Our two line items are (1) hair, makeup and grooming and (2) beauty and specialty talent we already represent — influencers, hosts, brain and wellness coaches, keynote experts — offered on selection when you ask for them, never fielded against your own creative direction. Plenty of our work arrives through experiential agencies and event producers who bring us in on their own contracts, often white-labelled under their name, and we would rather be on your roster for ten years than win one job from you.
Yes, and it is a large share of what we do. Green room and speaker prep, mainstage keynote readiness, panel and breakout touch-ups, VIP and sponsor guest lounges, executive headshot days, and audience-facing stations on the expo floor. At The 3% Conference we ran 30-plus speakers on 15-minute turnovers; at the AmeriLife Summit we ran a 300-person floor alongside live keynote support.
Yes. Seventy-plus vetted artists across 22-plus cities means we can staff a run without flying one team everywhere and billing you for it. The key artist travels to hold the standard; the bench is local. For a tour, the preferred rate contract is almost always the right structure.
Request a Scope & Quote
Dates, footprint, expected guest volume and what the brand wants people to walk away with. If you are an agency or producer bringing us in on your contract, say so and we will send partner terms instead. Either way you get a recommended station mix, a staffing plan, an honest throughput number and a real quote within one business day.
